Terms and Conditions 

General

The services provided by workspace365 (WS365) may change at its discretion at any time during the Agreement. Services are provided during normal business hours of hours of 8.30am to 5.00pm Monday to Friday, excluding public holidays and as well as the days between Christmas day until the first business day after New Year, or at other times as negotiated. Clients will pay all charges provided by WS365 at the rate indicated by WS365. WS365 has the right to change these charges by giving one months’ notice in writing. Payment of invoice is due on the 1st of the month, late charges may apply. Should account be in arrears in excess of 2 weeks (10 working days) your Agreement may be terminated without further notice. A reconnection fee of $140 will apply. Clients may not solicit the employment of WS365 staff during their time with WS365, nor 12 months after ending the Agreement. In the event that a staff member takes employment with a client, the client must pay an introduction fee of 35% of the new actual wage. The client should not make unreasonable demands on the services and staff of WS365. The client will not abuse or mistreat (verbally or otherwise) any staff members. A security deposit of 1 month is to be held. The client will be charged a once off set up fee of $100.00. Telephone calls and any other member services incurred at any of our locations will be billed monthly. To terminate your Agreement you must give 1 month written notice, which must be given at the end of the term. Credit cards and direct debits will be debited in advance on the 1st day of the preceding month automatically. To formalise the service, WS365 requires a copy of the credit card, business registration and Card holder’s identification (passport or driver’s license), and fully refundable security deposit plus the signed Agreement.

Go-Virtual Address Package

Mail will be processed as per instructions given to WS365 and can either be automatically forwarded (charges apply) or held for collection Monday to Friday 8:30am to 5:00pm. Letters are held at your mailing address centre. You will be notified via email when parcels arrive (parcels as per Australia Post Standards). Collection must be made within 24 hours otherwise parcel storage charges apply. Forwarded mail incurs an envelope charge and postage fee. With written authority mail can also be screened and forwarded via scan/email - charges apply. Includes 8 hours of access to home centre business lounge. Meeting room bookings will be at member rates. Invitation to member events and access to member specials included.

 

Go-Virtual Phone Answering Package

Includes a telephone number, and messages emailed and sent in real time to max 4 contacts within client organisation (i.e. name, email/sms, telephone etc.). Additional contacts can be added to your organisation for a fee of $15.00 per month per contact and changes to your initial set up are $15.00 per amendment. This package includes 100 incoming calls pcm. Over 100 calls pcm may incur additional charges. Call forwarding services are available for an additional $15.00 per month. Additional fees apply for international & 1300 numbered call forwarding. Meeting room bookings will be at member rates. Invitation to member events and access to member specials included.

Go-Virtual Phone, Address & Flexi Desk

In addition to the products and services within the Go-Virtual Business Address and Go-Virtual Telephone packages above, this package also includes 8 hours of business lounge and 5 flexi desk hours pcm. Meeting room bookings will be at member rates. Invitation to member events and access to member specials included.

 

Go-Virtual Platinum Package

In addition to the products and services within the Go-Virtual Business Address and the Go-Virtual telephone packages above, Platinum membership also includes 5 hours use of flexi desk and 40 hours access to any Sydney/Melbourne/Brisbane Business Lounge. Invitation to member events and access to member specials included.

 

 

Go-Virtual National Membership Package

In addition to the products and services within the Go-Virtual Business Address, National membership includes a total of 3 addresses - 1 address each state (Sydney, Melbourne, Brisbane). Meeting room bookings at member rates. Invitation to member events and access to member specials included. Invitation to member events and access to member specials included.

 

Go-Virtual Business Lounge

Includes 45 hours($59/pcm) or unlimited hours($99/pcm) per month facilitates access to any business lounge or you can purchase a Day Pass. Should you want 24/7 access a refundable deposit is held and also a security access card must be obtained (charges apply). Hours not used are forfeited. It is client’s responsibility to track hours used within the package. Should client usage extend beyond package allocated hours, client will be charged the relevant hourly rate. Please note business lounge member access is provided on the following terms and can be cancelled by authorised WS365 staff at any time. Guest passes are available for friends and family for a daily fee. Should a guest be allowed into the lounge without observing proper check-in procedure, WS365 reserves the right to charge the non-member daily rate of and/or cancel membership. Meeting Rooms, Day office, Flexi Desk Rentals

A 24 hour cancellation policy is in place for all meeting room, day office, Flexi Desk bookings. Should clients cancel with less than 24 hours’ notice from the time of booking WS365 reserves the right to charge the full amount of the booking. Booking cancellations must be received either online or in writing. Services booking outside of standard office hours require a deposit. New clients booking outside of office hours must come in person and provide ID, deposit and meet with a customer service specialist prior to the 1st booking. The expectation is that professional business services will be conducted within WS365 premises. WS365 has the right to cancel the booking and advise the appropriate authorities if professional business conduct is not observed. if client exceeds the booking time, client will be charged the prevailing hourly rates. Please remove all your paper/office products, wipe the boards down. WS365 staff will refill the water jug/glasses and wipe down the tables. Please note the common areas, and business lounge are monitored via cameras as well as entry to and from the Ground Level lobby doors. If you use the bike racks or shower, please be sure to use the services in a timely basis and do not leave your items/bike for an extended period of time or WS365 can choose to cancel these privileges.

Mutual Obligations

WS365 and the Client shall keep the terms and conditions of this Arrangement confidential and shall not disclose any information relating to those terms and conditions to any third party, unless the consent of the other is first obtained in writing and if the Premises of workspace365 for any reason beyond the control of the parties becomes unfit for use or occupation, terminate this Arrangement immediately by notice in writing from one to the other, without compensation payable between them.

Assignment

Workspace365 may assign its rights and obligations under this Agreement to a third party without the consent of the client, while the client may only assign his rights and obligations with the consent of workspace365 in writing.

Indemnity

The client must and does hereby indemnify and release workspace365 from all claims against workspace365 in relation to the client and/or any employee, servant, agent and/or invitee of the client for any loss, damage or consequential loss incurred by the client from the provision of any of the services provided by workspace365.

Invoicing

  • Rental invoice in advance and services in arrears will be sent on the 3rd week of each month.
  • Invoices will be e-mailed directly to you or your finance department, as per your contact details.

The amount owing for rental and service charges, will be paid by the client by way of authorising workspace365 to charge the client’s nominated credit card or direct debit account on the 1st business day of each month

It is your responsibility to ensure that: There are sufficient clear funds in your account to allow a payment to be made, otherwise late payment charges will apply. We will need to be advised in writing if the nominated account is transferred or closed.

You will pay your workspace365 rent and services charges by an alternate method if the credit card transaction is declined. If your payment is declined by your financial institution you will be charged a fee of $20.00+GST for this failed transaction. Your Agreement may be terminated for non-payment of invoices with 2 weeks of due date and a reconnection fee of $140+GST will apply. In the event of your overdue account being referred to a collection agency and/or law firm, you will be liable for all additional costs to collect the full debt, including legal demand costs.

Credit Card and Direct Debit Transactions

Workspace365 uses Stripe/NAB and multiple other gate ways to process payments. All transactions are processed via a secure gateway and your bank details cannot be viewed by any outside party, Payments are fully automated with an immediate response. All transactions are performed under 128 Bit SSL Certificate. All transaction data is encrypted for storage.

PRIVACY POLICY


Workspace365 regards customer privacy as an important part of its relationship with its clients and members. The following privacy policy applies to all Workspace365 clients and customers and conforms to Internet privacy standards.


Collection of Information

In order to use the Workspace365 website, we may require information from you in order to provide the best service possible. All correspondence may also be collected and stored, particularly in regard to sales, support and accounts, including Email. Any information collected by Workspace365 is collected via correspondence from you or your company. This may be via the telephone, Email, mail, fax or directly through our website.


Use of Collection Information

Any details collected from workspace365 customers are required in order to provide you with our products and/or services, and a high level of customer service. Correspondence is recorded in order to provide service references and to assist in our staff development.


Storage of Collected Information

The security of your personal information is important to us. When you enter sensitive information (such as credit card numbers) on our website, we encrypt that information using secure socket layer technology (SSL). When Credit Card details are collected, we simply pass them on in order to be processed as required. We never permanently store complete Credit Card details. We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it.


Access to Collected Information

If your personally identifiable information changes, or if you no longer desire our services, you may correct, update, delete or deactivate it by emailing us at contact@workspace365.com.au.


Orders
If you purchase a product or service from us, we may request certain personally identifiable information from you. You may be required to provide proof of ID and contact information (such as name, email, and postal address) and financial information (such as credit card number, expiration date). We use this information for billing purposes and to fill your orders. If we have trouble processing an order, we will use this information to contact you.

Communications
Workspace365 uses personally identifiable information for essential communications, such as emails, accounts information, and critical service details. We may also use this information for other purposes, including some promotional emails. If at any time a customer wishes not to receive such correspondence, they can request to be removed from any mailing lists by emailing us at contact@workspace365.com.au. You will be notified when your personal information is collected by any third party that is not our agent/service provider, so you can make an informed choice as to whether or not to share your information with that party.

Third Parties

Workspace365 may at its discretion use other third parties to provide essential services on our site or for our business processes. We may share your details as necessary for the third party to provide that service.  These third parties are prohibited from using your personally identifiable information for any other purpose. Workspace365 does not share any information with third parties for any unknown or unrelated uses.


Legal
We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, or legal process served on our Website.

Links on the Workspace365 site to external entities are not covered within this policy. The terms and conditions set out in this privacy statement only cover the domain name of www.workspace365.com.au and related entities.

Changes to Privacy Policy

If we decide to change our privacy policy, we will post those changes to this privacy statement, the homepage, and other places we deem appropriate so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We reserve the right to modify this privacy statement at any time, so please review it frequently.
